The Problem

Painter’s Crew is a painting contractor serving Toronto and the surrounding GTA. Before this project they were running the business the way most small contractors do: inbound calls, text messages, and a notebook for scheduling. That worked until it didn’t. Leads were slipping because quotes took days, the schedule conflicted weekly, and there was no record of past work to share with prospects.

They needed a website that did more than show a phone number.

The Solution

A full booking and quote platform for residential and small-commercial painting jobs:

Online estimator

A multi-step form that asks for property type, rooms or surfaces, paint quality tier, and any prep work (patching, priming, trim). It returns a price range immediately and a request for a confirming site visit. For smaller interior-only jobs, the online estimate becomes the final quote with no site visit required.

Customer accounts

Homeowners and property managers create an account to see past and upcoming jobs, download invoices, and pay deposits through Stripe. Repeat clients (property managers, landlords) can submit a new job in under a minute.

Project portfolio and galleries

Before-and-after photo galleries organized by job type — interior, exterior, commercial, specialty. Each project has a short description, location, and the products used. Gives prospects something concrete to look at instead of stock photos.

Admin dashboard

The contractor sees every quote, booking, and in-progress job in one view. They can update status, assign crews, send invoices through Resend, and mark jobs as complete. Daily and weekly pipeline views so the schedule is always current.

Notifications

Transactional emails for quote submissions, booking confirmations, crew reminders, and invoice delivery, all through Resend. Customers get a confirmation within seconds of submitting an estimate.

Service area map

A simple Google Maps integration showing the areas the company serves, with driving-time estimates that feed into the quote calculator (jobs further out cost more).

  • Vercel for hosting, with preview deployments for content changes
  • JSON-LD structured data for local SEO

What It Changed

The contractor can now take a new lead, send a quote, schedule the job, and invoice the client without switching tools. The online estimator captures leads overnight and on weekends, when the office is closed. Past-work galleries reduced the back-and-forth on sales calls — prospects often arrive at the call already convinced, because they’ve seen the portfolio.

The same admin dashboard now handles scheduling for a small crew, with minor changes to the permissions model as the team has grown.
